POSITION: Operations Coordinator
REPORTS TO: Executive Director
FLSA STATUS: Part-time 20-26 hours/week
LOCATION: Beaverton, OR
 
 
HomePlate, a grass roots youth drop-in and street outreach non-profit, established in 2005, offers hot meals, showers, resources, referrals, recreation, and positive interactions with adults. Located in Washington County and serving young people ages 12-24, HomePlate provides services to over 500 youth per year. Our mission is to support the positive development of young people experiencing homelessness or housing instability through community building, education, access to services and resources, and youth empowerment. HomePlate successfully connects community members and at-risk youth together in relationship in order to engage youth towards meeting their education, housing, employment, medical, and dental needs, etc. We encourage you to visit our website at www.HomePlateYouth.org to learn more. Overview
The Operations Coordinator supports the HomePlate mission and staff by ensuring the functionality and efficient operation.  The position includes overseeing key administrative, HR, financial, and IT-related functions. You will work closely with our team to strengthen our cloud-based infrastructure and financial processes, and ensuring our policies and procedures are as clear and unburdensome as possible. 
 
Essential Duties and Responsibilities
 
□          Office Management
·         Oversee activities related to the upkeep of the office, such as paying utility bills and ordering office supplies. 
·         Ensure the basic functionality, maintenance or improvements are coordinated (e.g., heat, internet, IT, cleaning, exterior grounds, etc.)
·         Maintain office/operations budget.
 
□          Operations Management
·         Expense reporting:  On a monthly basis, process all expense documentation, reconcile it against the monthly bank statements and submit to bookkeeper. 
·         Manage and maintain relationships with vendors, making sure that all items are invoiced, paid on time, and coded correctly in our accounting system.
·         Document Management:  Ensure that the operations procedures followed are clearly documented and maintained in a structured and standardized format and office policies are up to date and posted.
·         Improve and maintain the filing system for HomePlate documents and documents shared organization-wide on our cloud-based system (Google Drive & Microsoft Office 365).
·         Operations Improvement:  Regularly assess policies, processes, and procedures and recommend improvements to the Executive Director.
□          HR Management
·         Oversee the onboarding and offboarding of HomePlate employees, guiding them through paperwork processes and ensuring their needs are met.
·         Manage activities related to payroll, timesheets, PTO, and health insurance, providing accurate information to our HR account companies and bookkeeper.
·         Keep staff updated with trainings (CPR, first aid, etc)
 
□          Communications:
·         Maintain calendar of staff events, meetings, and retreats.
·         Plan and implement meeting and event coordination logistics including scheduling, room reservations, materials and food preparation.
·         Maintain relationship and communicate with landlord.
 
□          Other Duties
·         Provide general assistance and support, as directed by Executive Director.
·         Serve as HomePlate’s logistical problem solver. Can get it done or quickly find someone to handle new challenges that arise.
 
 
Knowledge/Skills/Abilities
 
●      Able to work independently and self-manage to achieve goals while being a strong team player
●      Exercises excellent independent judgment and ownership of decisions (creative problem solving, meeting needs with limited resources)
●      Excellent organizational skills, attention to detail, and ability to manage multiple projects and priorities in unstructured, sometimes chaotic environment.
●      Proficient personal computing skills including Google and Microsoft suite applications (e.g., Spreadsheets, Word processing, Email, Calendar, etc.)
●      At least 1 year operational/administrative experience
●      Ability to communicate effectively both verbally and in writing
●      Able to quickly learn and become proficient in new software and online applications
●      Receptive to feedback and modifying systems/processes to be more efficient and accessible to staff
●      Able to effectively negotiate on behalf of the organization with vendors and suppliers
●      Willing to embrace and actively support the unique culture and values of HomePlate
●      Preferred: Valid driver’s license and access to automobile (mileage reimbursement is provided).
●      Ability to pass a criminal background check

You should be tech-savvy and good with numbers and people, because you will be the primary contact for co-workers on questions related to benefits, technology, and financial processes.
 
Pay and Benefits
Hourly: Starting at $17.07/hr. Employer paid 79% for medical & 100% for dental benefits for employees (over 26 hrs/week) and 50% covered for dependents, $500 HRA; paid time off.
